The insurance estimates in Dentrix Ascend come from your insurance plan configuration, including coverage tables, benefits, and fee schedules. In some cases—for example, when a predetermination comes back from an insurance company, and the estimate amount does not match what you have in Dentrix Ascend—you may want to override the estimates to more accurately represent what the patient or the insurance will pay. However, you don’t just want to allow any employee to perform an estimate override.
In Dentrix Ascend, an organization has complete control to grant some users the right to quickly edit insurance estimate information and to require other users to seek manager approval before inputting overrides.
Note that procedures in a closed period are locked. A user with the right to override locked transactions must enter their credentials to be able to edit a procedure in a closed period.
Users With the Unlock Insurance Overrides Right
To allow users to override insurance estimates, verify that their role includes the Unlock Insurance Overrides right.
After a procedure in a closed period has been unlocked, a user with the right to Unlock Insurance Overrides can click the lock icon next to the Insurance Estimate Overrides section of the Edit Procedure window, and the corresponding options will unlock without requiring the user to input credentials a second time.
For a procedure that is not in a closed period, users are not required to enter their credentials to unlock the procedure. Users can simply click the lock icon next to the Insurance Estimate Overrides section, and the options will unlock.
Users Without the Unlock Insurance Overrides Right
To require users to seek manager approval before overriding insurance estimates, verify that their role does not include the Unlock Insurance Overrides right.
Users without this right must get approval from someone who does have the right, someone who Dentrix Ascend calls an “authorized user.” When a user without the appropriate right needs to unlock the options in the Insurance Estimate Overrides section of the Edit Procedure window, an authorized user must enter their username and password to allow the necessary changes.
The Audit Log tracks when insurance estimate overrides get unlocked, so a practice will always know which user performed an override and whose credentials unlocked the Insurance Estimate Overrides.
